Canteen roster template

A canteen roster template for game days

Early and late shifts, two families on the counter, one on the barbecue, and a column for the float. Print it for the canteen window or download it for the club spreadsheet.

The printed version has 16 blank rows under the example ones. The download opens in Excel, Numbers or Google Sheets.

Using it on a Saturday

Stick one copy inside the canteen window and keep one at home. The early shift opens the roller door, turns the urn on, gets the sausages out of the cool room and counts the float. The late shift takes over at half time between the second and third games, cleans the hotplate and hands the tin to the treasurer.

That last column matters more than it looks. Most canteen arguments at Northside Junior Soccer were about where the money went, not who was rostered. Writing the handover on the sheet ended them.

How many families per shift?

Club sizeCounterBBQShift length
Under 8 teams1 family1 adultOne shift, 3 hours
8–20 teams2 families1 adultTwo shifts, 2.5–3 hours each
20+ teams or finals day3 families2 adultsThree shifts, about 2 hours each

Shifts longer than three hours lose people. A family with a child in the 9:00 game can do the early shift if it finishes at 10:30, so ask which game time each family has and keep them off the shift that clashes.

Sharing the turns across the season

Count families, not parents. Divide the season’s shifts by the number of families, and that’s roughly how many turns each should get. Write it on the top of your list. When a family has had their share, they go to the bottom until everyone else has caught up. Keep finals day separate: it’s busier, and families who did it last year should be the last asked this year.

The canteen roster guide covers stock, float and food safety in more detail.

Running the canteen roster live

Once a season has 18 rounds, two shifts and 60 families, the printed roster becomes a weekly reprint. In FairTurns, set each Saturday shift to repeat each week, make Counter and BBQ positions with headcounts, add families by name, and press Fill for the season. Families mark the weekends they’re away and are left off them. One public link in the club chat shows every family their date. Free; Pro adds a reminder email before each shift.

Questions

Is this canteen duty roster suitable for a school tuckshop?

Yes. Change the shift times to the school day, rename Counter to Servery and BBQ to Prep, and it works for a tuckshop or school canteen too.

How far ahead should the canteen roster go out?

The whole season at once, if you can. Families plan weekends a long way ahead, and a full season lets them spot a clash early.

What about families with kids in two teams?

They usually get one turn for the family, not one per child. Put that rule on the roster so nobody has to ask.
