One table for the whole morning
Most churches end up with a roster per team: the music leader’s spreadsheet, the kids’ church sheet in a folder, the morning tea list on the fridge in the hall. Putting them in one table helps in two ways. People who are on two teams can see a clash before Sunday, and whoever opens up knows who to expect.
The example is from Hillcrest Community Church, about 120 people on a Sunday. Notice Ruth: welcomer on the 15th, music on the 22nd. Keeping people to one team per Sunday is the single most useful rule on a church roster.
Rostering volunteers kindly
Once a month is plenty
For most people, one Sunday in four is sustainable for years. Every second week burns people out.
Team leaders aren’t spare
Leaders tend to fill every gap themselves. Roster them like anyone else and give them weeks off.
Two adults in kids’ church
Always rostered in pairs, with a reserve, so a room is never left with one adult.
Plan by term
Write a term at a time, and ask for away dates before you start: school holidays, shift work, family visits.
The guide to planning a church roster for the year has a full calendar of the busy weeks to watch for.
Keeping it live
A printed church roster is out of date the first time someone can’t make it. In a FairTurns church roster, each team becomes its own team in the calendar, in its own colour, and Sunday repeats “Every week on Sunday”. Fill gives each place to whoever has had the fewest turns, and never puts the same person in two places at overlapping times across your teams. People mark the Sundays they’re away and are left off. One link shows the roster to the whole church on any phone, no sign-in. Free for any size of church; Pro emails reminders to people who have accepted an invitation.
Questions
Is there a worship team roster template?
Use the Music column here, or make one row per Sunday with columns for each part: lead vocal, keys, guitar, drums. The worship team roster page covers positions in more detail.
How do I stop people being on two teams on the same Sunday?
On paper, read each row across before you print. In FairTurns, Fill never puts someone in two places at overlapping times within your church, and booking someone twice by hand asks first.
Can people without email be on the church roster?
Yes. Write them in as usual. In FairTurns, add them by name only and they appear on the roster and the printed page like everyone else.
How far ahead should a church roster go?
A term, or about three months, is common. Long enough for families to plan holidays, short enough that it doesn’t need constant change.
