Why two weeks?
Lots of small workplaces settle into a two-week pattern without planning to. Half the team works Saturday morning one week and the other half the next. Late nights alternate so nobody does four in a row. Pay runs fortnightly, so the fortnight feels like the natural unit.
Laying both weeks side by side shows the swap-over at a glance. At Ridgeway Physio in Toowoomba, the four reception staff check their name in both columns and know their whole fortnight before it starts.
Filling in a two-week pattern
Start with Saturday. Split the team into two groups and give each group one Saturday in the fortnight. Then do the late shifts, making sure nobody does a late on Friday and the early on Saturday. Mondays and Fridays fill last, because they’re the days people most often ask off.
Read each person’s fortnight top to bottom before you print. Count their lates and their Saturdays. If one person has three lates and another has one, move one across now. It’s a two-minute fix on paper and a month of grumbling if you don’t.
Print Week 1 and Week 2 on one A4 landscape sheet, then write the next start date in the note line. The sheet stays right for as long as the pattern does.
Repeating it without rewriting it
A fixed fortnight is close to how FairTurns repeats dates. Click the first Saturday, choose Every second Saturday, and the dates are kept months ahead. Make two Saturday teams that alternate a week apart, one for each half of the staff, or keep one team and let Fill give each place to whoever has had the fewest turns. People mark the days they’re away, and the front desk roster shows the whole fortnight in the calendar’s week view and on one link anyone can open. Repeats are weekly, every second week or monthly, which covers most fortnightly rosters; longer cycles such as eight-day patterns aren’t among the repeats.
Questions
How do I make a fortnightly roster in Excel?
Download for Excel or Sheets, then change the dates in the two column headings each fortnight. Keep the names in the cells the same while the pattern holds.
Can the fortnightly roster start on a Sunday?
Yes. Move the Sun row to the top in the spreadsheet, and change the column headings to the Sunday dates.
What if someone leaves halfway through the fortnight?
Give their remaining shifts to the people with the fewest in that fortnight, and redraw the pattern for the next one. In a live roster, Redistribute does this and shows the changes first.
Is a fortnightly roster better than a weekly one?
It’s better when the pattern genuinely alternates. If every week looks the same, the weekly roster template is simpler.
