Club bar roster

Who’s on the bar Friday night?

The bar needs people with their RSA, the barbecue needs someone who can turn a sausage, and both need covering every game day. FairTurns puts the right members on each and shows the whole club who’s on.

Free, with no limit on people or dates. No card.

The same three members end up behind the bar

A club bar is a nice little earner and a lot of work. Somebody opens the cool room at five on Friday, checks the kegs, counts the till float, and stays until the last of the seconds have finished their post-match drink. On Saturday there’s the bar again, plus the barbecue out the front for the juniors’ families.

Only members with a current RSA can pour, and in most clubs that’s a short list. The keen ones say yes every time they’re asked, so they end up on almost every shift, and by mid-season they’re quietly burnt out. Meanwhile the members who would happily do the barbecue are never asked because nobody kept a list.

What fixes it is a roster that knows who can pour, shares the bar shifts across all of them, and gives the barbecue to everyone else.

How FairTurns runs the bar and the barbecue

RSA holders on the bar

Make a Bar position and set up only the members with their RSA. Fill never puts anyone else behind the bar.

Everyone on the barbecue

A BBQ position with no limits can be given to any member, so the non-RSA members take their turn there.

Friday nights and game days

Add Friday 5:00–9:00 pm and Saturday 1:00–6:00 pm as repeating dates. They’re kept months ahead, through the whole season.

Early and late, or both

Split a long Saturday into 1:00–3:30 and 3:30–6:00. With Same person all day switched on, one member covers both; if they can only do one, just that one goes to someone else.

Turns spread around

Fill gives each shift to the RSA holder with the fewest bar turns. The turns chart shows the committee who is carrying the load.

Functions as one-offs

Presentation night or a trivia fundraiser goes in as “Just this once”, and Fill shares those too. If functions need more bar staff, give them a Functions team with a bigger headcount.

Pro

When you want it to run itself

Pro sends members who have accepted an invitation a reminder before their shift. If an RSA holder can’t make Friday, they reply from the email and the next RSA holder in line is put on and asked, and the Bar team’s moderator gets an email about it. You can set your licensee or bar manager to Now and then so they aren’t on every week.

A$1 a month per organisation, paid 1 to 5 years at a time. See Pro and pricing

Good to know

  • Two on the bar is enough for most Friday nights; add a third for finals and functions.
  • Keep the Bar position up to date as members renew or lapse. FairTurns uses the list you give it and doesn’t check certificates.
  • Members don’t pick their own shifts: Fill puts them on, and they see the roster on the link.
  • The roster only covers who is on and when. Stocktake, takings and banking stay in your usual book or till.

Questions

How do I make sure only RSA holders are put on the bar?

Set up the Bar position so only members with their RSA can do it. Fill and Redistribute only use those members for bar places, and anyone else goes to the barbecue or other jobs.

Can a member do the bar and the barbecue on the same day?

Yes, at different times. FairTurns won’t put one member in two places at overlapping times within the club, so they can do the bar on Friday and the barbecue on Saturday.

What about the off-season?

Set the repeating dates to the season, then cancel the dates you don’t open. Cancelled dates can be brought back if the club hosts a winter function.

Can we roster the bar for functions and presentation night?

Add the function as a one-off date with its times. It gets the same bar places as the team’s other dates, so if functions need more hands, make a Functions team with its own headcount. Fill shares those places across your RSA holders along with the regular shifts.

What does it cost for a club?

Running the roster is free for any number of members and shifts. Pro, with the reminder emails and automatic cover, is A$1 a month for the whole club, paid 1 to 5 years at a time.
