Umpire and referee roster
An umpire roster that never double-books a whistle
Your club has a pool of referees and umpires and a fixture full of games that each need one. FairTurns gives each game to whoever has had the fewest, keeps people off overlapping games, and shows the whole pool where they’re going.
Free, with no limit on people or dates. No card.
Twelve games, nine umpires and a Thursday-night ring-around
The fixture lands on Tuesday. By Thursday the club’s umpire coordinator has to match every home game with an umpire or referee, and the spreadsheet doesn’t know that Ethan is already on at 8:30 on field 2, that Hannah has the grading for the under 15s and three others don’t, or that Kiri has done four weekends in a row.
So the coordinator rings around. The reliable officials get asked first and most often. The new ones, who need games to build confidence, sit idle. When someone pulls out on Friday, the whole puzzle is done again from memory.
This page is about your club’s own pool of officials and the games they cover, not the players. A roster that knows who can take which grade and counts everyone’s games gets you most of the way before Thursday.

How FairTurns shares the games
Each game as a date
Click Saturday, set 8:30 till 9:45, and name the team after the grade and field. A repeating game is set once for the season.
One or two officials per game
Give each game a position with its headcount: one referee and two assistants, or two field umpires. Every place shows until it’s filled.
Grades and levels
Set up only your level 2 umpires for the senior grades. Juniors stay on the games they’re ready for, and nobody is put on one they aren’t set up for.
No two fields at once
Fill never puts one official on two games at overlapping times, across every grade in the club. Booking someone twice by hand asks first and shows where they already are.
Games counted
Each game goes to the official with the fewest turns in that position, and the turns chart shows the whole pool’s count.
When the pool changes
A new umpire passes their course mid-season. Tick them in and Redistribute shares the rest of the fixture again, showing who gains and loses a game before it changes.

When you want it to run itself
With Pro, officials who have accepted an invitation get their games by email on the day you choose and a reminder before each one. If someone can’t make a game, they say so from the email and the next official in line who is set up for it is put on and asked, while the coordinator gets an email.
A$1 a month per organisation, paid 1 to 5 years at a time. See Pro and pricing
Good to know
- Leave 15 minutes between games for an official doing two in a row: set the game times so they don’t overlap and FairTurns will happily put them on both.
- Officials don’t pick their own games: you press Fill, and they see their games on the link or in their own next dates.
- Clash checking covers your own club. If an umpire also officiates for the association or another club, those games aren’t checked.
- Match fees and payments are kept outside FairTurns; the turns chart is a handy count of games when you work them out.
Questions
How do I make an umpire roster for a whole season?
Add each regular game as a repeating date with its time and field, add a position for the umpires it needs, add your officials, and press Fill for the season. Change single dates when the fixture moves a game.
Can I keep junior referees off the senior games?
Yes. Set each official up for the positions they can do, such as Junior referee or Senior referee. Fill only puts people on positions they are set up for.
Will it stop one umpire being put on two games at once?
Fill and Redistribute never put one official on two games at overlapping times within your club. If you do it by hand, it asks first and shows the other game.
Is this for the players’ team list too?
It’s built for the jobs around the game: officials, scorers, canteen and the like. Players are best left to your league’s own team sheets.
What does it cost?
Free for any number of officials, games and grades. Pro adds the emails and automatic cover for A$1 a month per club, paid 1 to 5 years at a time.
