Start with a team that has dates and positions set up, and people who can do those positions. Then open the team’s Fill page.
- Choose how far ahead to fill: the next 1, 3, 6, 9 or 12 months.
- Choose one position, or leave it on all of them.
- Check who is ticked. Untick anybody you are keeping back this time, such as a reserve or someone taking a break.
- Press Fill empty places. You see what will happen before anything changes.
Choosing a position narrows the list to the people set up for that job. The ticks are for this run only, so nobody is quietly left out next time.
What Fill does
Fill only puts people into places that are empty. It never moves anybody already on the roster, so you can press it as often as you like.
Each empty place goes to the person with the fewest turns in that position, and nobody is put on two dates at overlapping times within your organisation. People who have marked a day away are left off that day. With Pro, each person’s How often setting is followed as well.
You can put people on by hand first, then use Fill for the places that are left.
Note: Turns are counted position by position. When two people are level on a position, whoever has fewer turns on the team overall goes first.
Read the turns chart
Turns booked, beside the Fill controls, shows how many dates each person has in the chosen period.
Use it to see how the dates are spread, not to expect exactly the same number for everybody. What fair looks like is up to your group.
When the team changes
When somebody joins, leaves or takes a break on a roster that is already full, use Redistribute on the same page instead. It takes off anybody unticked, hands their places out and shares out the rest again, moving as few people as it can.
Before anything changes, a confirmation page names every person who gains or loses a date. Places set by hand are respected, and dates people have said yes to with Pro are not moved.
